Actabl builds software for hotel operations, bringing several parts of hotel management into one platform. Its product portfolio spans front-of-house and back-of-house operations, workforce management, business intelligence, and accounting.
As Actabl's customers grew, so did the number of hotel employees using its software. For teams with dozens of people working the same shift, the existing ways of sharing information were no longer enough.
When internal notes aren't enough for a team of 70
Actabl had been using internal notes to help hotel staff pass context between team members.
That approach worked when teams were smaller. But in a large hotel department, a supervisor could be coordinating 50, 60, or even 70 people working at the same time. Passing information through individual notes made it difficult for everyone to stay aligned.
Actabl needed a way for hotel staff to communicate in real time, within the same application where they were already doing their work.
The requirement went beyond simply adding chat. Actabl needed communication that could work across its multi-tenant SaaS platform while supporting the scale and complexity of hotel operations.
Building real-time communication into a multi-tenant platform
Actabl's team evaluated CometChat as the communication layer for its platform, with several requirements in mind:
Live team channels
Staff needed to communicate with groups in real time rather than relying on internal notes.
Multi-tenancy
Conversations needed to remain isolated across hotel properties and customers.
White-labeling
The chat experience needed to fit into Actabl's own branded product experience.
Translation
Hotel teams needed the ability to communicate across language barriers.
AI moderation
Conversations needed moderation capabilities appropriate for a large workforce.
Scalability
Chat needed to support high periods of simultaneous activity, particularly around hotel shift changes.
For Actabl, communication would become part of the core product experience. That made the underlying infrastructure just as important as the chat interface itself.
One chat integration across web and mobile
Actabl's web application is built with Angular, while its mobile experience uses Ionic with Angular.
CometChat's Angular UI Kit gave the team a ready-made way to integrate chat into the web application, while allowing the same components to be used within the Ionic application. Where Actabl wanted more control over the interface, it could work directly with CometChat's JavaScript SDK.
This gave the team flexibility without requiring them to build the entire communication layer themselves.
Multi-tenancy was another important consideration. Instead of building and maintaining tenant isolation for chat internally, Actabl could use CometChat's existing multi-tenant architecture.
The platform also gives Actabl flexibility in how it deploys the communication layer over time, with options ranging from shared cloud infrastructure to dedicated cloud and self-hosted deployments.
De-risking chat before rolling it across the platform
Because communication would become an important part of Actabl's product infrastructure, the team is taking a phased approach.
The rollout starts with a proof of concept, followed by deployment to one product line before expanding across the wider product portfolio and customer base.
This approach allows Actabl to validate the integration and understand real-world usage and concurrency before scaling it across its hotel customers.
Making communication predictable at scale
The technical integration was only part of the decision. Actabl also needed a pricing model that could accommodate unpredictable concurrency as adoption grew.
CometChat and Actabl structured the agreement around concurrent users, with defined pricing tiers and the ability to move to a more appropriate plan as actual usage becomes clearer.
That gives Actabl a way to scale its communication infrastructure alongside customer adoption without having to guess its future concurrency requirements upfront.
The result
Actabl is adding real-time communication to the same platform hotel staff already use to manage their daily operations.
Live team coordination
Hotel staff can communicate in real time instead of relying on internal notes.
Built for multi-tenant SaaS
CometChat handles the underlying multi-tenancy required to serve multiple hotel properties.
Web and mobile support
The same integration approach extends across Actabl's Angular web and Ionic mobile experiences.
Flexible implementation
Actabl can use UI Kits for a faster integration or the SDK when it needs more control.
Built to scale
A phased rollout lets the team validate chat usage and concurrency before expanding across products and customers.
Flexible deployment
Actabl has a path from shared cloud infrastructure to dedicated or self-hosted deployment if its requirements change.
By bringing real-time communication into its hotel operations platform, Actabl is replacing fragmented internal notes with live coordination built into the workflow, giving larger hotel teams a more scalable way to stay aligned.
